1. About Us and Definitions
1.1 Surrey Airport Rides is a private hire service operated by Gabor Hanicz, sole trader, based in Weybridge, Surrey. We are a licensed private hire operator.
1.2 In these Terms, "we", "us", "provider" means Surrey Airport Rides. "Customer", "you" means the person making the booking. "Driver" means the licensed driver fulfilling the journey.

2. Booking Confirmation and Acceptance of Terms
2.1 All journeys must be pre-booked. We do not accept on-street hailing.
2.2 A booking is only confirmed once we provide written confirmation via email, WhatsApp, SMS or other agreed communication stating date, time, pick-up, destination and total price.
2.3 Any booking made via website, telephone, email, WhatsApp or other means constitutes an agreement. By making a booking, the customer confirms the customer has read, understood and agrees to be bound by these Terms in full. If the customer does not agree, the customer should not make a booking.
2.4 We reserve the right to refuse any booking request.

3. Pricing and Payment
3.1 All prices are quoted in GBP, include any applicable taxes, and are based on details agreed at booking. The total price payable by the customer will be confirmed in writing.
3.2 Additional charges will only apply if agreed in advance or where the customer changes requirements. This may include:
a) additional stops requested by the customer;
b) change of destination or significant route change requested by the customer;
c) additional luggage or bulky items not disclosed at booking;
d) additional waiting time requested by the customer beyond what is included;
e) additional parking charges as set out in Clause 6.
3.3 All additional charges will be calculated at cost or at a pre-agreed rate and will be transparently communicated before being incurred where reasonably possible.
3.4 Payment may be requested before travel, on the day of travel, or immediately after the journey, as agreed at booking. We reserve the right to refuse service if payment terms are not met.

4. Customer Cancellation and Right to Cancel
4.1 This clause explains the customer's cancellation rights under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013.
4.2 Transport services for a specific date and time are exempt from the 14-day cooling-off right under Regulation 28(1)(l). Once a booking is confirmed for a specific date, the statutory right to cancel without reason does not apply.
4.3 Our voluntary cancellation policy is:
a) Cancellation more than 24 hours before collection: full refund less any non-recoverable costs already incurred (e.g., airport parking pre-paid);
b) Cancellation within 24 hours before collection: may be non-refundable, as we have reserved the time and may have refused other work. This will never exceed the total booking price.
4.4 Repeated late cancellations or no-shows may result in refusal of future bookings.
4.5 To cancel, the customer must notify us in writing via the same channel used for confirmation.

5. Driver Availability and Exceptional Circumstances
5.1 We aim for all journeys to be personally driven by Gabor. This is a core feature of our service.
5.2 In exceptional circumstances beyond our reasonable control, including but not limited to illness, family emergency, accident, vehicle breakdown, severe traffic disruption, severe weather, airport disruption, or road closures, we reserve the right to arrange a suitably licensed and insured alternative driver or alternative transport provider of equivalent standard.
5.3 If alternative arrangements cannot be made, we will notify the customer as soon as possible and provide a full refund. This is the customer's sole remedy in such circumstances, subject to Clause 13.

6. Meet & Greet – Arrivals Service
6.1 The airport transfer price includes up to 30 minutes of airport car park charges.
6.2 The provider closely monitors the customer's flight's actual landing time. The provider aims to enter the car park approximately 30 minutes after landing, from which point the 30 minutes of included parking time begins.
6.3 Due to circumstances beyond the provider's reasonable control – including but not limited to car park congestion, lift / elevator availability or outages, terminal crowd levels, road traffic around the airport, and security restrictions – the provider may not be physically inside the arrivals hall at the exact moment the customer enters it. The provider will use all reasonable endeavours to be in the arrivals hall to meet the customer with a name sign as described in the confirmation message.
6.4 If the provider is not in the arrivals hall when the customer arrives, the designated meeting point remains the arrivals hall. The customer should remain in the arrivals hall and contact the provider immediately on the number provided in the confirmation. Airport mobile reception can be variable, but the provider will use all reasonable endeavours to remain contactable from the time the customer's flight lands until the provider and the customer meet.
6.5 If the 30 minutes of included parking time is exceeded for any reason – including but not limited to baggage / luggage delays, border control / immigration delays, customs delays, delayed disembarkation, late exit from the aircraft, or any customer-requested waiting time – any additional car park charges actually incurred shall be payable by the customer. Such additional charges will be charged at cost (no mark-up), calculated at the airport operator's prevailing public tariff, and will be added to the final transfer total payable by the customer at the end of the transfer. A receipt can be provided to the customer on request.
6.6 The customer agrees that any additional parking charge under 6.5 is not a penalty, but a pass-through of third-party costs.

7. Flight Delays and Flight Changes
7.1 The customer must provide accurate flight details.
7.2 Where flight information is provided, we monitor flights for delays. We are not responsible for missed collections caused by incorrect or incomplete flight information provided by the customer.
7.3 Substantial unexpected delays may result in additional waiting or parking charges under Clause 6.5, which will be payable by the customer.

8. Journey Times and Delays Outside Our Control
8.1 Journey times are estimated in good faith and depend on traffic and weather.
8.2 We cannot guarantee journey times due to circumstances beyond our reasonable control including traffic accidents, motorway closures, severe weather, police incidents, airport disruption, roadworks, or public emergencies. We accept no liability for delay caused by such events, subject to Clause 13.

9. Missed Flights
9.1 The customer remains responsible for allowing sufficient travel time, including time for check-in and security.
9.2 We shall not be liable for missed flights caused by circumstances beyond our reasonable control, including those listed in Clause 8.2.

10. Passenger Conduct, Luggage and Child Seats
10.1 The driver may refuse to continue service where the customer or any passenger behaves abusively, becomes aggressive, causes safety concerns, damages the vehicle, or is intoxicated in a way that creates risk. No refund will be provided where service is refused for passenger misconduct, but any unused portion of the journey will not be charged.
10.2 The customer is responsible for informing us of unusually large luggage, sports equipment, bicycles, or oversized items requiring special accommodation. We reserve the right to refuse transport if requirements were not disclosed.
10.3 The customer is responsible for the customer's own luggage. We accept no liability for loss or damage to luggage except where caused by our negligence.
10.4 Where child seats are requested, the customer remains responsible for ensuring the information provided about the child's age, height and weight is accurate and that the seat requested is suitable. We accept no liability where incorrect child information is provided by the customer.

11. Vehicle Damage and Cleaning
11.1 The customer is responsible for any damage caused by the customer or passengers. Reasonable cleaning or repair costs may be payable by the customer, including for spillages, vomiting, smoking in the vehicle, or excessive mess requiring professional cleaning. Charges will be based on actual cost with receipt provided.

12. Lost Property
12.1 Any items left in the vehicle will be kept where possible for 28 days. We accept no liability for items left behind. Return of lost property may involve a delivery or collection charge payable by the customer at cost.

13. Liability Limitation
13.1 Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud, or for any other liability which cannot be excluded under English law.
13.2 Subject to 13.1, we will provide services with reasonable care and skill as required by the Consumer Rights Act 2015.
13.3 Subject to 13.1, our total liability for loss arising from a breach of these Terms shall not exceed the total booking amount paid by the customer for that booking.
13.4 We are not liable for indirect or consequential loss including missed flights, hotel costs, airline charges, missed events, or lost business, where such loss results from circumstances beyond our reasonable control or from the customer's failure to allow sufficient time.
13.5 This does not affect the customer's statutory rights.

14. Complimentary Services and Allergy Disclaimer
14.1 Any complimentary refreshments, bottled water, snacks, or additional care services are provided entirely at our discretion and do not form part of the paid transport contract.
14.2 The customer is responsible for informing us in advance of any allergies, food intolerances or dietary requirements.
14.3 While reasonable care will be taken, we cannot guarantee complimentary items are free from allergens including nuts, dairy, gluten, eggs or other ingredients. Complimentary refreshments are provided entirely at the customer's own discretion and we accept no liability for allergic reactions or adverse reactions, except where caused by our negligence.

15. Website Information
While we make every effort to ensure website information is accurate, service descriptions, prices and availability may change without notice. The confirmed written price at booking prevails.

16. Right to Refuse Service
We reserve the right to refuse service at our discretion where safety, operational or legal concerns arise.

17. Complaints and Alternative Dispute Resolution
17.1 If the customer is unhappy, the customer should contact us in the first instance to allow us to resolve the issue.
17.2 If the matter cannot be resolved, the customer may use alternative dispute resolution. The customer may also contact the Citizens Advice Consumer Service. We are not currently a member of an ADR scheme, but will provide details on request.

18. Governing Law
These Terms shall be governed by and construed in accordance with the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction, except that if the customer is resident in Scotland or Northern Ireland, the customer may also bring proceedings there.
